Short version: your data is yours, we use it only to fill the forms you ask us to and to run the service, we never sell it, and you can delete it whenever you like.

Who we are

WorkOnce is operated by [LEGAL ENTITY — e.g. WorkOnce LLC, Delaware, USA] ("WorkOnce", "we", "us"), the data controller responsible for your information. You can reach us at ben@workonce.app.

What we collect

  • Account data: your email address and authentication details when you sign up or sign in.
  • Profile data: the details you add for applications, such as your name, contact information, work history, and education.
  • Resume: any resume file you upload, which we process to read your details.
  • Saved answers: answers to application questions that you choose to save.
  • Application tracking: records of applications you add or that are detected, so you can track their status.
  • Gmail data (optional): only if you connect Gmail, we scan for job-application-related emails to update application status. This is off unless you turn it on.

How we use your data and our lawful basis

We use your data to provide and improve the service. Specifically:

  • to fill out job applications you open (performance of our contract with you);
  • to store your profile so you do not have to re-enter it (performance of our contract);
  • to keep your account secure and prevent abuse (our legitimate interests);
  • to scan Gmail for application updates, only where you have connected it (your consent);
  • to meet legal obligations where they apply (legal obligation).

We do not sell your personal information, and we do not use it for third-party advertising.

How the extension works

The WorkOnce extension fills forms inside your own browser, in the session you are already signed into. It acts only when you use it, and it does not submit anything on its own. See our Data Processing disclosure for the full detail on what stays local and what is stored.

Who we share it with

We share data only with the infrastructure providers we need to run WorkOnce, and only so they can provide their service to us:

  • a cloud hosting, database, authentication, and storage provider that runs our backend;
  • an automated model provider that parses uploaded resumes;
  • Google, only if you choose to connect Gmail.

We may also disclose information if required by law, or to protect the rights and safety of our users and the service.

Data retention and deletion

We keep your data for as long as your account is active. You can delete individual entries at any time, and you can delete your entire account, which removes your stored profile, resume, and saved answers. We may retain limited records where we are legally required to.

Security

We protect your data with access controls that scope your records to your account, encrypted connections, and reputable infrastructure providers. No system is perfectly secure, but we work to keep your information safe and to limit access to it.

International transfers

Our providers may process data in countries outside where you live, including the United States. Where required, we rely on appropriate safeguards for these transfers, such as standard contractual clauses.

Your rights

Depending on where you live, you may have the right to access, correct, delete, or export your data, to object to or restrict certain processing, and to withdraw consent (for example, by disconnecting Gmail). These rights cover protections under the GDPR and UK GDPR, and under US laws such as the CCPA.

You can exercise most of these directly in the app. For anything else, email us at ben@workonce.app and we will respond within the time required by applicable law. You also have the right to complain to your local data protection authority.

Children

WorkOnce is not intended for anyone under 16. We do not knowingly collect data from children. If you believe a child has provided us data, contact us and we will delete it.

Changes to this policy

We may update this policy from time to time. If we make a material change, we will update the date at the top and, where appropriate, notify you. Continuing to use WorkOnce after a change means you accept the updated policy.
